The Rotaract Club of SVIT ("Club", "we", "us", or "our"), chartered under Rotary International District 3192 at Sai Vidya Institute of Technology, values and respects the privacy of every student, member, alumnus, and website visitor.   • Member Registration: Full name, college email address, branch/department, year of study, University Seat Number (USN), and mobile number.
  • Event Participation: Registration details, dietary requirements (for seminars/camps), check-in timestamps, and certificate generation data.
  • Technical Information: Browser type, operating system, and IP address collected via automated server access logs for DDoS prevention.

2. Purpose of Data Processing

Your personal data is strictly processed for the following non-profit, student-centric purposes:

  • Administering official club membership, dues, and Rotary International District 3192 roster submissions.
  • Issuing verifiable event passes, e-certificates, and volunteer hours acknowledgment.
  • Communicating meeting agendas, blood donation drives, orientation sessions, and leadership conferences.
  • Maintaining website uptime, user authentication security, and fraud defense.

3. Data Protection and Storage

All data collected through rcsvit.org is hosted securely within Google Cloud Platform / Firebase databases with servers based in India. Data is encrypted both in transit (using modern TLS 1.3 encryption) and at rest (AES-256). We enforce strict role-based access controls limiting member directory access to authenticated club executive officers.

4. Non-Disclosure & Third Parties

We never sell, lease, or monetize your personal data to marketing companies or commercial brokers. We only share information with:

  • Sai Vidya Institute of Technology: For campus activity approvals, room allocations, and attendance accreditation.
  • Rotary International District 3192: For official chartered club reporting, award nominations, and district conference registrations.
  • Cloud Providers: Google Firebase infrastructure providers who operate under strict enterprise confidentiality agreements.

5. Your Rights as a Data Principal

Under applicable Indian data protection laws, you possess the right to:

  • Access & Review: Inquire about the personal records we hold regarding your club membership or event registrations.
  • Rectification: Request corrections to erroneous or outdated contact information.
  • Deletion: Request erasure of your account or contact details upon graduating or leaving the club.
